Trademark Operations Support Specialist – Dallas

Munck Wilson Mandala is looking to add a Trademark Operations Support Specialist to its intellectual property team in the Dallas office.

Responsibilities Include:

  • Process conflict screening requests
  • Prepare engagement letters
  • Assist clients with processing retainer or invoice payments as needed
  • Open new clients/matters in accounting and docketing systems
  • Assist with disengagement procedures
  • Prepare USPTO Powers of Attorney and changes of correspondence for attorney signature
  • Coordinate with billing attorneys and accounting teams for special client billing procedures as needed
  • Ensure matters are set up to comply with rate agreements and outside counsel guidelines.
  • Update docket and accounting systems with new client contact information
  • Handle all aspects of client bill preparation and client invoicing
    • Running/editing, and delivering prebills for partner review;
    • Entering prebill edits into the system
    • Finalizing/mailing bills electronically to clients
    • Respond to client accrual requests
  • Partner with legal assistants to ensure foreign associate invoices are submitted at the time work is performed.
  • Maintain all behind-the-scenes billing credit allocation.
  • Document all procedures related to trademark file opening, client onboarding and billing and cross-train others as needed.

Trademark Legal Assistant – Dallas

Munck Wilson Mandala is looking to add a Trademark Legal Assistant to our Intellectual Property team in the Dallas office.

Primary responsibilities:

  • Provide administrative and legal support to partners, associates and paralegals.
  • Create, revise, finalize and send out correspondence to clients, foreign associates, and adverse parties.
  • Handle all types of filings at the USPTO and Trademark Trial and Appeal Board
  • Assist with docket review and maintenance and coordinate with attorneys and paralegals on upcoming dates and deadlines for filings
  • Manage client onboarding and exit procedures including drafting engagement letters, submitting conflict checks, creating matters in the docketing and accounting systems, and managing intake of transferred files.
  • General administrative duties or tasks as required, which may include but is not limited to calendaring/scheduling, processing bills and reimbursements, preparing mail packages.
  • Document production services, including styling and formatting of documents, proofreading and checking for appropriate formatting, spelling and grammatical errors.
  • Assist with overflow work and other projects as needed.

Required Knowledge, Skills, and Abilities:

Education: High school graduate or equivalent; Associate’s degree or college coursework or equivalent work experience preferred.

Experience: 2-3 years of trademark/IP experience preferred.

  • Advanced Microsoft Outlook skills, especially with managing calendars, scheduling meetings on behalf of attorneys, and incorporating teleconference or web-meeting information into communications.
  • Must have excellent grammar, writing, and proofing skills.
  • Ability to multitask, organize and prioritize numerous tasks – the trademark team has a voluminous docket of matters and the incumbent must have the ability to organize their tasks to effectively accomplish the team’s objectives
  • Strong computer skills, including Microsoft Word, Excel, and Outlook; and a demonstrable ability to learn any department-specific software.
  • Excellent communication and interpersonal skills required to interact with various departments, all levels of management, and external contacts, including outside counsel.
  • Excellent attention to detail and ability to follow up and follow through.
  • Must be able to handle sensitive and/or confidential information.

Subrogation Paralegal – Dallas

Our Firm is currently in the process of recruiting an experienced Subrogation Paralegal. This position will provide support for a busy team of attorneys in a highly collaborative working environment.

Primary Responsibilities

Duties include, but are not limited to:

  • Draft correspondence to potential targets, attorneys, courts, third parties, etc.
  • Draft status letters to clients.
  • Draft and file pleadings, including research of parties via secretary of state
  • Docketing daily Trial schedules, statutes of limitations and deadlines.
  • Prepare initial drafts of discovery to propound and discovery objections and responses.
  • Manual and electronic document reviews.
  • Prepare hearing, deposition, mediation and trial notebooks and exhibits.
  • Perform legal research.
  • Maintain deadlines calendar.
  • Schedule mediations, depositions, conference calls, etc.
  • Coordinate multiparty examinations of scenes and evidence.
  • E-filing on the state and federal level.
  • Coordinate service of process.
  • Trial preparation and attend trials.

Experience & Qualifications

  • The ideal candidate will possess a minimum of 5 years litigation trial experience (plaintiff side preferred).
  • The candidate will have the ability to work in a high volume, high energy environment.
  • Must have strong interpersonal and communication skills and able to provide excellent client/customer service.
  • Qualified candidates must be proficient in MS Word, Excel, Outlook and E-Filing. Must exhibit strong typing skills and have the ability to learn and quickly become proficient in new computer software programs.
  • Available for some overtime is required.
  • Candidates should possess excellent written and oral communication, strong proofreading and organizational skills.
  • Candidates should also be detail oriented, be able to multi-task and have the knowledge and skills necessary to prioritize the workload independently.

Trademark Paralegal – Dallas

Trademark Docketing Specialist – Dallas

Our Firm is currently in the process of recruiting a Trademark Docketing Specialist to work with our Intellectual Property team in our Dallas, Austin, Los Angeles, or Miami office.

Primary responsibilities:

  • Maintain and update U.S. and foreign trademark records in our docket system to track deadlines associated with obtaining, maintaining, and enforcing domestic and foreign trademarks.
  • Review incoming and outgoing domestic and international trademark correspondence, enter/clear dates in docketing system, and forward to legal personnel as needed.
  • Maintain current deadlines in accordance with correspondence received and prevailing country law requirements.
  • Create, maintain and organize files; maintain client preferences and contacts within docketing system.
  • Manage client/matter intake and disengagement processes.
  • Conduct periodic audits of active matters to confirm integrity of docketing system.
  • Report on and follow up with legal personnel regarding upcoming deadlines.
  • Prepare and distribute docket reports and customized queries as requested.
  • Collaborate with team members to review processes and procedures and to implement improvements.
  • Special projects as assigned.

Requirements:

  • Experience with docketing trademark matters required, experience with using WebTMS preferred.
  • Must have strong reading comprehension skills and a strong ability to digest and summarize complex emails, especially from foreign attorneys and IP Offices, into a few sentences and to identify critical deadlines associated with those emails.
  • Must have a working knowledge of domestic and foreign trademark filing, prosecution and registration rules and procedures.
  • Must have strong organizational skills and ability to prioritize, manage multiple tasks and work independently.
  • Must be detail-oriented with solid analytical skills and a strong ability to review, understand and summarize complex legal issues for a fast-paced high-volume IP team.
  • Ability to understand and reliably implement critical procedures and processes.
  • Must have strong interpersonal and teamwork skills.
  • Must have excellent written and oral communication skills.
  • Strong computer skills and experience, particularly with Microsoft Office (Word, Excel, Outlook, PowerPoint) are required. Must be able to compile data and generate reports from various databases.
  • Must type minimum of 65 w.p.m.
  • Ability and willingness to take initiative to address problems and make continuous process improvements.
  • Flexibility, positive attitude, and willingness to learn and develop new skills.
  • Ability to ability to take direction, but does not need constant supervision.
