Munck Wilson Mandala is looking for an HR Manager to join its Dallas office. This position will work with the firm’s Director of Administration in managing the firm’s human resources issues. Duties include, but are not limited to:

• Onboarding new hires
• Support staff reviews and exit interviews
• Vacation, out of office, and overtime requests and coverage
• Employee relations, training, and investigations
• Workplace safety and HR compliance

Litigation Legal Assistant – Austin

Munck Wilson Mandala is currently seeking a litigation legal assistant for its Austin offices to support as many as four busy attorneys and/or paralegals in a highly collaborative working environment. The ideal candidate will possess a minimum of 3 years of legal assistant or secretarial experience with significant exposure to a commercial litigation practice in a mid to large-sized law firm. We will consider candidates who have worked in other professional services industries.  Duties include but are not limited to:

Preparing, finalizing and filing documents (i.e., declarations, power of attorneys, assignments, transmittals, extensions of time, information disclosure statements, etc.)

Preparing and finalizing client correspondence; maintaining attorney docket

IP/Patent Legal Assistant – Dallas

Munck Wilson Mandala is currently seeking an experienced IP/patent legal assistant for its Dallas office to support as many as three patent prosecution attorneys. Minimum of 3 years of experience with intellectual property and patents as well as knowledge of PCT and foreign prosecution is required.

Duties include preparing, finalizing and filing documents at the USPTO in US provisional, utility, design and PCT applications (i.e., transmittals, declarations, power of attorneys, assignments, information disclosure statements, maintenance fee payments, etc.); preparing and finalizing client correspondence; and maintaining attorney docket for both US and foreign patent matters.

Collections Specialist – Dallas

Munck Wilson Mandala is looking to add a Collections Specialist to its Dallas office. This position will work with Attorneys, Accounting, the Firm’s Corporate Counsel/Director of Administration and CFO on the Firm’s collection efforts to resolve outstanding balances. Prior collections experience in a law firm or other professional setting is required and an accounting background is strongly preferred.

Essential duties and responsibilities of the Collections Specialist position include but are not limited to the following:

  • Collaborate with the Firm regarding collection efforts
  • Review accounts for collection efforts and develop collection strategies and payment plans
  • Locate and communicate with clients to begin the recovery process
  • Maintain a professional relationship with clients to negotiate payments and enact payment plans
  • Provide client service regarding collection issues, process, and review account adjustments, resolve client discrepancies, and over or short payments. Monitor and maintain accounts via client calls and/or emails
  • Provide timely follow up on payment arrangements
  • Keep hard copy and electronic records of all communications, payment plans agreed to, and amounts paid
  • Communicate and follow up effectively with Attorneys, Accounting, and the Director of Administration regarding client accounts on a timely basis
  • Perform other assigned tasks and duties necessary to support Accounting with collection efforts

Event & Travel Manager – Dallas

Munck Wilson Mandala is looking to add an Event & Travel Manager to its Dallas office. This position will handle the planning and managing of events and travel for all MWM offices. The duties and responsibilities revolve around planning and managing a wide array of planned and impromptu events of varying sizes, purposes, and priorities across multiple office locations. The manager must manage logistics, keep everything within allocated budgets, timelines, and quality standards, and ensure all events are carried out smoothly. The goal is to orchestrate memorable, premium level events that will ensure the entertainment of attorneys and clients and facilitate the completion of business objectives.

• At least 3-5 years of event coordination experience working in the areas of hospitality/event planning/corporate services

Munck Wilson Mandala is currently seeking a Billing Specialist for its Dallas office. A minimum of 3 years of full cycle billing experience is required, with law firm experience strongly preferred. Litigation Paralegal – Dallas

The firm’s litigation practice areas include commercial, intellectual property, and labor and employment, among other areas. Trademark Docketing Specialist – Dallas

Munck Wilson Mandala is looking to add a Trademark Docketing Specialist to work with our Intellectual Property team in our Dallas, Austin, Los Angeles, and/or Miami offices.  While trademark docketing experience is preferred, we are open to entry-level candidates who are interested in trademarks and intellectual property.

Primary responsibilities:

  • Maintain and update U.S. and foreign trademark records in our docket system to track deadlines associated with obtaining, maintaining, and enforcing domestic and foreign trademarks.
  • Review incoming and outgoing domestic and international trademark correspondence, enter/clear dates in docketing system, and forward to legal personnel as needed.
  • Maintain current deadlines in accordance with correspondence received and prevailing country law requirements.
  • Create, maintain and organize files; maintain client preferences and contacts within docketing system.
  • Manage client/matter intake and disengagement processes.
  • Conduct periodic audits of active matters to confirm integrity of docketing system.
  • Report on and follow up with legal personnel regarding upcoming deadlines.
  • Prepare and distribute docket reports and customized queries as requested.
  • Collaborate with team members to review processes and procedures and to implement improvements.
  • Special projects as assigned.

 

Requirements:

  • Experience with docketing trademark matters required, experience with using WebTMS preferred.
  • Must have strong reading comprehension skills and a strong ability to digest and summarize complex emails, especially from foreign attorneys and IP Offices, into a few sentences and to identify critical deadlines associated with those emails.
  • Must have a working knowledge of domestic and foreign trademark filing, prosecution and registration rules and procedures.
  • Must have strong organizational skills and ability to prioritize, manage multiple tasks and work independently.
  • Must be detail-oriented with solid analytical skills and a strong ability to review, understand and summarize complex legal issues for a fast-paced high-volume IP team.
  • Ability to understand and reliably implement critical procedures and processes.
  • Must have strong interpersonal and teamwork skills.
  • Must have excellent written and oral communication skills.
  • Strong computer skills and experience, particularly with Microsoft Office (Word, Excel, Outlook, PowerPoint) are required. Must be able to compile data and generate reports from various databases.
  • Must type minimum of 65 w.p.m.
  • Ability and willingness to take initiative to address problems and make continuous process improvements.
  • Flexibility, positive attitude, and willingness to learn and develop new skills.

Trademark Legal Assistant – Dallas

Munck Wilson Mandala is looking to add a Trademark Legal Assistant to our Intellectual Property team in the Dallas office.  2-3 years of trademark/intellectual property experience preferred.

Primary responsibilities:

  • Provide administrative and legal support to partners, associates and paralegals.
  • Create, revise, finalize and send out correspondence to clients, foreign associates, and adverse parties.
  • Handle all types of filings at the USPTO and Trademark Trial and Appeal Board
  • Assist with docket review and maintenance and coordinate with attorneys and paralegals on upcoming dates and deadlines for filings
  • Manage client onboarding and exit procedures including drafting engagement letters, submitting conflict checks, creating matters in the docketing and accounting systems, and managing intake of transferred files.
  • General administrative duties or tasks as required, which may include but is not limited to calendaring/scheduling, processing bills and reimbursements, preparing mail packages.
  • Document production services, including styling and formatting of documents, proofreading and checking for appropriate formatting, spelling and grammatical errors.
  • Assist with overflow work and other projects as needed.

 

Required Skillset:

  • Advanced Microsoft Outlook skills, especially with managing calendars, scheduling meetings on behalf of attorneys, and incorporating teleconference or web-meeting information into communications.
  • Must have excellent grammar, writing, and proofing skills.
  • Ability to multitask, organize and prioritize numerous tasks – the trademark team has a voluminous docket of matters and the incumbent must have the ability to organize their tasks to effectively accomplish the team’s objectives
